Job Summary:

The Records Manager, Student Records manages the daily processes and policies pertaining to the receipt, processing, storage, maintenance, and security of student and academic records. This position is also responsible for the continuous improvement and integrity of associated policies, processes, technologies, and service levels. This position manages a team of staff responsible for the daily handling of associated tasks. In addition, the Records Manager is responsible for the recruitment, management, and development of staff, and the timely and accurate management of workflow, ensuring compliance, and with thoughtful use of resources. This position may also lead projects related to the management of records. Like every employee in the Office of the Registrar, this position is expected to perform his/her tasks with the highest levels of integrity, quality and productivity.

  • Primary Responsibilities:
  • Recruit, manage, evaluate, and develop staff.
  • Provide new hire and ongoing training to staff on student record retention and maintenance in accordance with internal procedures.
  • Ensure adherence to internal and external academic and student records policy.
  • Oversee the Records Office administrative functions, including but not limited to invoicing and records maintenance accounts with third party vendors.
  • Manage workflow and team resources
  • Assist in determining a strategy to continuously improve activities, workflow processes, records maintenance procedures, and services to students, faculty, academic deans and other administrative offices within the university.
  • Lead projects and provide subject matter expertise to other departments
  • Serve as liaison to administration, faculty and staff for records-related issues and service satisfaction.
  • Other related duties as assigned or required.

Experience:

  • Bachelor Degree
  • Four years of related experience, preferably in a registrar, administrative or transfer credit office. Experience in a student services role acceptable
  • Experience in workflow management and customer service

What we're looking for:

  • Intermediate Windows/Office required. CVue, SRM, and other university systems preferred.
  • Ability to learn proprietary systems, adapt to changes/updates in systems and processes.
  • Extreme accuracy and ability to work effectively with light supervision. Ability to manage multiple tasks and meet deadlines. Ability to transfer knowledge and skills through training. Must be able to work well with multiple levels of people throughout the organization, including but not limited to staff, faculty, and students.
  • Comfortable with change and exhibits a positive demeanor. Excellent written and oral communication skills. Demonstrated ability to motivate, support and manage staff to accomplish goals and objectives.
  • Preferred Qualifications:
    • Familiarity with Orion Document Imaging (ODI).
    • Ability to work with discretion and complete confidentiality as this position involves constant contact with sensitive personnel records.
  • Some travel may be required.

Additional Information:

  • Target salary is $52,600 - $55,000. Learn more about Purdue Global Benefits
